Getting Started with the Usage Report

Understand your district's SchoolAI story with data you can drill into

The Usage Report is where district and school leaders see how SchoolAI is being used across their organization. It offers answers to the questions that come up in board meetings, renewal conversations, and coaching plans:

  • Is this working?

  • Who's using it?

  • Where do we need support?

  • What's actually happening in the sessions behind the numbers?

What is the Usage Report?

The Usage Report is an analytics dashboard for admins. It summarizes activity across your organization — student learning interactions, student joins, sessions launched, Spaces used, tool and assistant usage, and active teachers — with a readable definition under every metric so you never have to guess what a number means.

The Usage Report has two tabs:

  • Usage — your headline metrics, trends, and breakdowns

  • Alerts — district-wide safety alert activity

Every filter you apply updates the whole report at once, so metrics, charts, and breakdowns always tell the same story. Charts are interactive: click a school and the report re-scopes to that school; click a teacher and you can follow the trail down to an individual student session in Mission Control.

Beyond looking at data, you can compare groups side-by-side, save the views you return to, and share them with other admins.

Where to find it: Click your avatar in the bottom-left corner of SchoolAI, then select “Usage report.”

How it works

1. Set your filters

Filters change the entire report — metric cards, charts, and breakdowns. Common filters include:

  • Date range (choose a preset range, an academic year, or a custom range)

  • Schools (multi-select, for districts with more than one building)

  • Grade levels (multi-select)

  • Teachers / staff (multi-select)

Tip: If you are ever unsure what you are currently looking at, check the active filter badges, they’ll show you what filters are applied right now. Use “Clear filters” to get back to your full organization view.

2. Drill down into the detail

Many charts in the Usage Report are interactive. Instead of opening a pop-up, clicking updates the report so you keep your place in the story.

  • Click a school in the school breakdown to re-scope the full report to that school.

  • Click a staff member in the staff breakdown to see their Spaces and sessions.

  • Click a Space in a ranked chart to see the sessions launched from it.

  • From a staff member, a Space, or a session count, open an individual session in Mission Control to see the actual student conversation.

Your filters carry through the drill-down. A breadcrumb at the top of the page — Usage Report → [Staff member or School] → Session — lets you step back to the overview.

Keep in mind that the Usage Report summarizes the period you selected while Mission Control always shows live session data. Drilling in moves you from a summary to a live view.

3. Compare groups side-by-side

Comparison Mode answers questions like "How is School A doing compared to School B?" and "Is this semester stronger than last semester?"

  1. In the filter area, click “Add comparison.”

  2. Configure your primary view with your default filters.

  3. Configure one or more comparisons. Each one can have its own schools, date range, grade levels, and staff.

Metric cards then show a value for each group side-by-side and charts overlay or group the series. Every group is labeled and color-coded, and you can reorder groups to change which one acts as your baseline.

Start with two comparisons and add more only if you need them. If a chart looks crowded, narrow the scope — fewer schools, fewer grades, or a shorter date range.

4. Save the views you come back to

If you look at the same slice of data every week, save it.

  1. Set your filters, including any comparison groups you want to keep.

  2. Open the saved views control in the report header and save the current view.

  3. Name it something you'll recognize later, like "Lincoln Elementary, AY 2025-26."

Your saved views appear in three groups in the “Saved views” dropdown:

  • My views — views you created. Rename or delete them from the dropdown.

  • Shared with me — views another admin shared directly with you.

  • Shared with organization — views published across your organization so every admin sees the same standard set.

When you change a saved view, an “Unsaved changes” chip appears next to the title so you know you're not looking at the saved version. Save the changes or discard them.

To share a view, open it and click Share. Search in “Search admins by name or email,” click “Invite,” then set each person's access under “People with access.” Access levels are Owner, Can edit, and No access. You can also set “Default admins access” for your whole organization, or use Copy link. Only admins in your organization can be invited.

If someone shared a view with you, you can change the filters freely to explore. You won't overwrite their version. To keep your own, use Save copy.

What the Usage Report can help you do

A few of the ways district and school leaders use it:

  • Find low-activation buildings then drill into staff lists to see who needs coaching

  • Recognize your strongest staff by seeing what they're actually building and launching

  • Compare this semester to last or two schools to each other before a planning meeting

  • Investigate a specific session end-to-end when a question comes up about one classroom

  • Publish a standard set of saved views so every admin in the district reads the same numbers

Every metric card carries its definition on screen:

Definitions are consistent across the report so filtering or comparing never changes what a metric means.

When comparison groups are active, the first group is labeled Baseline and the others show a percentage difference against it.

Frequently asked questions

Who can see the Usage Report? Admin-level users in your organization. Teachers use Mission Control for their own classroom data instead.

Can I get from the report to an actual student conversation? Yes. Drill into a staff member, a Space, or a session count, then open the individual session in Mission Control. What you can see depends on your role in SchoolAI.

Do filters apply to everything? Yes. Filters and comparison groups update the entire report so the story stays consistent.

Can I share what I'm seeing? Yes. Copy the URL of the Usage Report and share it — only individuals who have the same role access in SchoolAI will be able to view the page. For something you'll return to, save it as a view and share the view.

If someone changes the filters on a view I shared, does my view change? No. People with view access can explore freely without affecting your saved version. They can use “Save copy” to keep their own.

What does Baseline mean on a metric card? When comparison groups are active, the first group is the baseline. Every other group shows its percentage difference from that baseline.
