Staff turnover shouldn't mean losing the teaching materials your district invested in. Asset Management lets an admin copy a team member's Spaces and documents to another team member, so a departing teacher's best work stays in your organization and their replacement starts with a library instead of a blank page.
What is User Asset Management?
User Asset Management is an admin action on the Team page. Pick a team member, choose which asset types to copy — Documents and Spaces — and choose who receives them. SchoolAI creates copies for the recipient and delivers them into a Transferred Assets collection on their Organize page.
Two things to know:
It doesn't move or delete anything. The original member keeps every asset and full access. The recipient gets copies. Removing a member from your organization is a separate action, and running Asset Management is never required to do it.
It doesn't publish anything to students. Copied Spaces arrive as drafts. Nothing goes live until the receiving teacher reviews a Space and publishes it themselves.
Where to find it: Click your avatar in the bottom-left corner, select Team under your organization, then open the actions menu (⋮) on a member's row and choose Asset Management.
How it works
1. Open Asset Management for a team member
On the Team page, find the member whose assets you want to copy — search by name or filter by school — and choose Asset Management from their actions menu (⋮). The action appears on active members.
2. Choose what to copy
The dialog shows the member's asset counts (for example, 3 documents, 16 spaces). Check the asset types to include:
Documents — the member's documents
Spaces — the member's Spaces
A type with zero items can't be selected. Selection is by type: all items of a checked type are copied together. You can't currently pick individual Spaces or documents.
3. Choose who receives the copies
Under Copy assets to, search by name or email. The recipient must be a team member in your organization. Their name appears below the field once selected.
4. Copy
Click Copy assets. You'll see a confirmation once it's done.
5. The recipient reviews and publishes
The receiving teacher opens Organize and finds a Transferred Assets collection under My collections, holding their new copies:
Copied Spaces are owned by them and marked Draft
They open each Space, adjust anything they want, and publish when ready — that's when it can go live to students

Frequently Asked Questions
Does the original teacher lose anything? No. Their account, Spaces, and documents are completely unchanged. Asset Management creates copies.
Do I have to copy assets before removing someone? No — the two actions are independent. But if you want to keep a departing member's materials, copy them before removing the member.
Who can receive copies? Any team member in your organization. Search by name or email in the dialog.
Can I copy just one or two specific Spaces? Not currently. You select by asset type (Documents, Spaces) and all items of a selected type are copied.
Why do copied Spaces show as Draft? So the new owner decides what goes live. They review each Space and publish it themselves; until then, students can't see it.
Where do the copies go? Into a “Transferred Assets” collection under “My collections” on the recipient's Organize page.
Do student conversations or session history come with the copies? No. Copies are fresh, unpublished versions of the Spaces themselves — the recipient starts clean and launches new sessions with their own students. Full data migration that preserves session data isn't available in the platform; if you need session-level data migration, contact support.
Can I copy assets for several departing teachers at once? One member at a time today. For large transitions, work down your list member by member.
Why don't I see Asset Management in the actions menu? It appears on active members only, and it may not be available in all accounts or may be rolling out gradually.
Does this work across organizations? No. Recipients must be in the same organization.
